Awareness concept builder

An awareness concept is not a text you write once and then have. It is a handful of decisions: who can be approached, how they are reachable, what happens after a report, where someone can go, and who may exclude a person. This builder asks exactly those questions and writes two documents from the answers.

Two, because they answer different questions. Participants need to know who to go to and what happens then. The crew needs to know who is on shift, what the escalation steps are and who decides. Give either audience the other's document and you get a concept nobody reads.

The concept belongs with the risk assessment you build in the Safety concept assistant; the deadlines for it are in the Countdown task plan.

Your details

The safeguarding block appears when the event profile says there are participants under 18.

Building blocks

Switch off what you do not need. Three blocks stay — without them it is not a concept.

Core blocks

Details still missing: What is your awareness team called?, How to reach you. They appear as gaps in the text.

Information sheet for participants

Information sheet for participants: Stance and scope

Everyone at [eventName] should feel safe. Discrimination, harassment and boundary violations have no place here — neither in play nor outside it. This applies to participants, performers, crew and guests, across the whole site and for the whole event.

Information sheet for participants: Contacts and availability

You can talk to [team]. We are clearly marked and reachable around the clock on [contact]. You do not have to justify anything or prove anything to approach us — a word is enough.

Information sheet for participants: Reporting routes

You can come to [team] in person, call or write. We listen, record what you tell us, and discuss with you what happens next. We take no further step without your agreement — unless someone is in immediate danger.

Briefing for the crew

Briefing for the crew: Stance and scope

This stance applies to us first. We step in when we notice something, even if nobody has complained, and we hold ourselves to the same rules. A team member who crosses a line is treated like anyone else.

Briefing for the crew: Contacts and availability

Awareness is staffed continuously; the shift plan is posted in the crew area. Whoever is on duty wears the marking visibly and carries the duty phone. Handovers happen in person, with a short note on open matters.

Briefing for the crew: Reporting routes

Every report is recorded, including the passing remark. We document briefly and factually: what, when, who was involved, what was agreed. We do not judge in front of the person affected and pass nothing to third parties that has not been agreed.

How this is calculated

The blocks cover what a concept has to carry: stance, contacts, retreat space, reporting routes, escalation, substances, photography, safeguarding and aftercare. For LARP the play-safety mechanics come on top — safe words, OK check, lookdown, leaving a scene, calibration, content notes and debriefing.

Three blocks cannot be switched off: stance, contacts and reporting routes. A concept without them is not one.

The wording is a proposal and explicitly meant to be changed. A concept an organisation has not put in its own words is one it will not stand behind when it matters.

Where details are missing the text shows a visible gap such as [team] rather than a sentence that is quietly wrong — and the builder says at the top which details are still missing.

  • Play-safety mechanics: the Nordic LARP safety literature and the German-language scene
  • Structure: published awareness guidance from the cultural sector
  • Safeguarding: our own youth protection concept

Every figure with its source and review date is in the metrics register — including when it was last checked against the regulation.
